This notice explains how Probate Value handles personal information when you visit the website, contact us or submit an availability enquiry. Probate Value is operated by Known By One LLC, which is the controller of that information.

The controller is established in the United States and offers this UK-facing service. You can use the email address above for any privacy request or complaint.

Information we collect

Depending on how you use the service, we collect:

your name, email address, telephone number and the estate postcode;
the asset category, estimated value, description and other details you choose to include in your enquiry;
correspondence, provider-introduction status, follow-up, outcome and cancellation information;
the page that led to your enquiry and campaign parameters such as UTM source, medium and campaign; and
limited technical, hosting and security logs, such as IP address, browser information, timestamps and request records.

Please do not put bank details, identity documents, medical information or other unnecessary sensitive information in the free-text field.

Why we use it and our lawful bases

To receive and assess your enquiry, check availability and respond to you. We do this to take steps at your request before you decide whether to enter a contract.
To identify and, where appropriate, introduce up to two independent valuation providers. We rely on our legitimate interests in operating a useful introduction service and your corresponding interest in receiving relevant quotes.
To administer enquiries, prevent misuse, secure the website, improve the service and establish or defend legal claims. We rely on our legitimate interests in running the service safely and effectively.
To keep records or make disclosures where the law requires it. We rely on the relevant legal obligation.

The required form acknowledgement confirms that you have seen this notice and understand the proposed sharing. It is not consent to unrelated marketing. We do not currently use enquiry details for that purpose.

Who receives your information

We may share the enquiry with no more than two independent valuation providers solely so they can assess the request, clarify the work and contact you about a quote. We do not sell your details, and we do not share them with unrelated businesses for their marketing.

A provider that receives an enquiry controls its own use of your information. Before proceeding, read that provider's privacy notice and service terms. We may also use service providers for website hosting, email delivery, database storage, security and professional advice. Those suppliers may process information only for the agreed service. We may disclose information to a regulator, court, law-enforcement body or adviser where required or reasonably necessary.

International processing

Because the controller is established in the United States, information submitted to the service is processed there. Some technology suppliers may also process information outside the UK. UK data-protection law continues to apply to our UK-facing processing.

Before we initiate a restricted transfer to a separate organisation outside the UK, we use a permitted mechanism where required, such as UK adequacy regulations or an appropriate safeguard including the UK International Data Transfer Agreement or UK Addendum. Contact us for information about the safeguard relevant to your data.

How long we keep it

Enquiries that are withdrawn or do not lead to an introduction: up to six months after closure.
Enquiries that lead to a provider introduction: up to 24 months after the last activity, so we can administer the introduction and handle queries or complaints.
Records needed for tax, accounting, fraud prevention or legal claims: up to six years, or longer if a dispute or law requires it.

We may keep anonymous statistics that can no longer identify you.

Your rights

Depending on the circumstances, you may ask us for access to your information, correction, deletion, restriction or portability. You may also object to processing based on legitimate interests.

Your right to object: you can object at any time to processing based on our legitimate interests. Tell us your circumstances and we will stop unless we have compelling legitimate grounds to continue or need the information for legal claims.

We do not make decisions about enquiries solely by automated means. To exercise a right, email contact@probatevalue.co.uk. We may need to confirm your identity. You can also complain to us first using that address.

You have the right to complain to the UK Information Commissioner's Office. Its contact and complaint information is available at ico.org.uk/make-a-complaint.

Cookies and similar technologies

We do not currently use advertising cookies or non-essential analytics cookies. The hosting platform may use storage or process technical data that is strictly necessary to deliver and secure the website. If we introduce non-essential storage or tracking, we will update this notice and provide any consent control required before it is used.

Changes to this notice

We may update this notice as the pilot, providers or technology change. The current version and update date will remain on this page. Material changes affecting an open enquiry will be brought to your attention where appropriate.
